Privacy policy
Last updated November 5, 2026. This explains what Kloomie keeps about you, why, who else sees it, and how to get it back or have it deleted.
Kloomie is run by Cultural Architects Collective LLC ("we"). Questions go to hello@kloomie.com.
The short version
- We keep what you and your team put into Kloomie so we can show it back to you. That's the business.
- We don't sell your data, show you ads, or use what's in your account to train AI.
- There are no advertising or analytics trackers in Kloomie.
- You can export your things or delete your account yourself, from Settings, at any time.
What we keep
Your account. Your name, your email address if you add one, and your password. We store only a scrambled form of the password (a hash), never the password itself.
What your team puts in. Docs, tasks, files you upload, calendars, money and bills, campaigns, call and email logs, contacts, meeting notes, map pins and anything else you add. It belongs to you and your team.
Connected accounts. When someone connects Google or Microsoft, we keep a key that lets Kloomie read and update their calendar and, if they turn it on, send email from their account. We keep a copy of the calendar events we show you. Disconnecting deletes the key.
Your location, only when you ask. The map uses your device's location only after you allow it in your browser, and only while the map is open. When you record a trip, the route is saved so the trip's miles can be counted.
Signatures. When someone signs a document, we record their name, email, the time, their internet (IP) address and the kind of browser they used. That record is what makes the signature hold up, so it stays with the signed document.
Security records. We see internet (IP) addresses to stop people guessing passwords and to keep the service safe. Our servers keep short technical logs of errors.
Your browser. Kloomie stores your sign-in and a few preferences (like which screen you were on) in your browser's own storage. We don't use cookies for advertising or tracking.
How we use it
- To run Kloomie: store your things, sync them between your devices and your team, and do what you ask it to.
- To send you email you need, like sign-in codes, password resets, invitations, and notices about your account or team.
- To keep Kloomie safe, fix problems, and stop abuse.
- To follow the law.
We don't read your content except when you ask us to help with something, when we need to fix a problem, or when the law requires it.
Who can see it
Your team. Things you share in a team can be seen by the people in it. Things you keep private (your Day, personal money, your vault, private folders) are only shown to you. Team owners decide who is in the team and can export what's shared.
Companies that help us run Kloomie. They handle data only to provide their service to us:
| Who | What for | What they see |
|---|---|---|
| Railway | Runs Kloomie's servers and stores uploaded files | Everything stored in Kloomie |
| Neon | Database (United States) | Everything stored in Kloomie |
| Resend | Sends Kloomie's own email | The email address and the message |
| OpenStreetMap | Map images and finding addresses | The part of the map you look at, and addresses you search for |
Google and Microsoft accounts. When you connect Google (Gmail and Google Calendar) or Microsoft (Outlook), Kloomie uses that access only to do what you asked: show your calendar events in your Day, put the blocks you make onto the calendar you pick, and send the email you write in Kloomie from your own mailbox. Kloomie can’t read your inbox. We don’t use this data for ads, don’t sell it, don’t use it to train AI, and people at Kloomie don’t read it unless you ask us to help or the law requires it. Kloomie’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. You can disconnect at any time in Settings, which deletes the key; you can also remove Kloomie’s access in your Google or Microsoft account settings.
Services your team chooses to connect. If your team connects Zapier, a webhook, or its own AI key (Claude, OpenAI or Gemini), the data needed for that feature goes to that company, under your team's own agreement with them. For AI, that means the text and files you ask the AI to work on. We don't control what those companies do with it, so check their policies.
When the law requires it. We'll share data if we're legally required to, and we'll tell you first unless we're not allowed to.
If the business changes hands. If Kloomie is sold or merged, your data moves with it under this policy, and we'll tell you.
How long we keep it
- Your things stay as long as your account and team exist.
- When an owner deletes a team, it's locked straight away and erased 7 days later, unless an owner cancels.
- When you delete your account, your private things are erased at once. Work you shared stays with the team.
- Exports you make are kept for 7 days, then deleted.
- Anything erased is gone from our backups within 30 days.
Your choices
- Get a copy. Settings → Account → Export your things. Owners can export the whole team from Settings → Team.
- Correct it. Change your name, email or password in Settings → Account, or edit anything you've added.
- Delete it. Settings → Account → Leave or delete.
- Ask us. Email hello@kloomie.com for anything you can't do yourself. Depending on where you live (for example the EU, UK or California) you may have more rights, such as objecting to how we use your data or complaining to a regulator. We'll answer within 30 days, and we won't treat you differently for asking.
If you use Kloomie through your employer's team, your employer controls that team's data, so some requests may need to go to them.
Keeping it safe
Everything travels over encrypted connections. Passwords are hashed. Connection keys and AI keys are encrypted again before they're stored. Your vault is locked on your own device with your vault passphrase, so we only ever hold it scrambled and can't open it, and neither can your team's owners. Nothing on the internet is perfectly safe, so if we learn of a breach affecting your data, we'll tell you promptly.
Where it's kept
Kloomie's data is stored in the United States. If you use Kloomie from elsewhere, your data is moved there.
Children
Kloomie is for businesses and isn't meant for anyone under 16. If you think a child has given us their information, tell us and we'll delete it.
Changes
If we change this policy in a way that matters, we'll email account owners before it takes effect. The date at the top shows the latest version.
